Booking Details

1.1) All bookings are subject to the terms and conditions outlined below.

1.2) In the unlikely event of equipment failure due to unforeseen circumstances Infinity Entertainment will happily refund the cost of the night, excluding the security deposit / booking fee as outlined in Section 3.

1.3) Infinity Entertainment will not consider your booking confirmed until full payment of the security deposit has been received.

1.4) Infinity Entertainment’s DJ(s) / Entertainers will require adequate time for the installation and dismantling of the equipment. This amount of time will depend on the type of event, access and amount of equipment required. If the Client or Venue has special requirements for setting up/disassembly times or times of access, the Client must provide these details to the Company prior to the booking, or additional charges may be made. Wherever possible, the Company will visit the Venue prior to quoting in order to estimate the time/work/equipment required. Please bear in mind that if there is not sufficient time to do this, or if the distance, opening hours of the venue or other matters prohibit this, then the Company must rely on information given by the Client in providing a Quotation. Parking/Toll charges will be charged at cost.

1.5) Both Infinity Entertainment and client offer assurances that no previous bookings exist with other clients/companies that would affect the booking.

1.6) In the event the Client has another booking which results in the cancellation of the contract, cancellation costs in Section 2 do not apply and the full payment is required.

1.7) Infinity Entertainment will be in attendance at the venue in good time to set up for the event. However, if they are prevented from setting up by the late running of the event, the client agrees that the same amount of setup time is still needed, and any consequent late start to the entertainment will not be the responsibility of the business.

1.8) For event or equipment hire held outside and within the elements it is considered the client’s responsibility to provide adequate protection for all equipment in the event of bad weather. Infinity Entertainment is happy to provide equipment hire for outdoor use but under any circumstances where equipment is damaged in any way the client is responsible for all repair or replacement costs.

1.9) In the event of power failure or inadequate power supply where the power supply cannot be maintained Infinity Entertainment will attempt to solve any problems but takes no responsibility for any impairment to the night. We rely upon information from the client regarding the power supply and if there are any issues Infinity Entertainment need to be notified 30 days prior to the event. An independent power supply may be sourced at cost to the client and any damage to Infinity Entertainment’s equipment due to power supply issues will be the responsibility of the client.

1.10) In the event that the venue has a noise limiter or equivelant technology installed Infinity Entertainment requires specific information regarding restrictions and the device. Any damage caused to Infinity Entertainments equipment by sound limiting will be the responsibility of the client at all times. Any impact upon the event from sound limiting will not be the responsibilty of Infinity Entertainment.

Payments

2.1) Security Deposits / Booking Fees can be made payable by Cheque, Cash, Credit Card or Direct Deposit.

2.2) If the DJ is required to play on past the agreed time, the fee for such overtime is $80.00 per 60mins or part thereof, payable in cash or via prior arrangement, at the time of requesting extra time. This is subject to the conditions of the Venue, and is at the DJ’s discretion.

2.3) If any payments are not received by the due date, Infinity Entertainment may refuse to attend the event, and full payment will still be required, as this will be considered a breach of contract. 

2.4) All fees must be paid in full to Infinity Entertainment two weeks prior to the event.

Deposits, Cancellations and Postponements

3.1) A minimum $350 security deposit / booking fee is required for all bookings. Your deposit acts as a booking / cancellation fee and is considered a security deposit for the event or equipment hire. Infinity Entertainment reserves the right to decide whether to refund a security deposit / booking fee at all times.

3.2) Public holidays and high demand periods such as New Years Eve, Christmas, Valentines Day and Easter may incur a higher fees.

3.3) In the event of the client wishing to cancel or postpone the event for any reasons within 90 days of the booked date, the minimum amount to be charged is $350.00 and within 60 days of the booked date we will charge the entire fee agreed at time of booking. In the event of a cancellation the Client must notify Infinity Entertainment as soon as is practical and in writing.

3.4) If the cancellation or postponement is made less than 60 days before the event, the entire fee will be due. This is because it is unlikely Infinity Entertainment will receive a replacement booking at such a late date. However if we were to take another booking we will always refund this fee less $350.00 which is the minimum non refundable amount.

3.5) In the unlikely event such as sickness or an emergency where Infinity Entertainment has to cancel a booking we will endeavour to make sure we can find a replacement company to cover the function. You will be given a full refund and we will do everything within our power to make sure a similar service can be found although we cannot guarantee any prices for external suppliers.

Conduct and Security

4.1) The client will ensure that the audience and anyone other than the Infinity Entertainment team conduct themselves in a proper manner. Infinity Entertainment will not be held responsible for any actions, behaviour or damage caused by those attending or working at the event, under any circumstances.

4.2) The Infinity Entertainment team will conduct themselves in a proper manner throughout their attendance at the venue, and will respond to the clients requests (unless in breach of any laws or venue requirements/restrictions) as to volume, positioning of equipment, and any other reasonable requests.

4.3) Often, Infinity Entertainment will take photographs or video footage of events, to be used in promotional materials and simply to send to clients. If you, the Client, object to this, please notify Infinity Entertainment before the date of the event.

4.4) The client will be held responsible for any theft or damage of any equipment (including vehicles stored on the premises) belonging to the company caused by anyone other than members of the Infinity Entertainment team.

4.5) It is solely the responsibility of the client to ensure the venue has sufficient and legal security for both personnel and equipment (including vehicles used by the company).

4.6) Infinity Entertainment will not be held responsible for damage to the venue caused by the company’s equipment. Infinity Entertainment must be notified of any potential problems.

4.7) Infinity Entertainment operates a zero tolerance policy regarding abuse to its staff, whether verbal or physical, actual or implied. Infinity Entertainment will always do our best to ensure we all have a safe and enjoyable night. However in the event that Infinity Entertainment feel that a situation is a risk to our employees or our equipment we will at our own discretion stop all services and no refund will be given.

4.8) Infinity Entertainemnt operates a zero tolerance policy towards drugs, under-age drinking or other illicit behaviour, and will not be a party to such behaviour. Such actions as detailed in Section 4.7 may be taken in these circumstances.

4.9) Infinity Entertainment, on advisement from any emergency services, client or venue manager, will immediately shutdown all equipment and consider the night finished.

Health and Safety

5.1) It is solely the responsibility of the client to ensure the Venue complies with all Health & Safety requirements, and holds all necessary certification, Public Liability Insurance, Public Performance Licences, etc.

5.2) Infinity Entertainment will ensure their equipment fully complies with all known health and safety legislation regarding their equipment and personnel.

5.3) The Client is responsible for ensuring that the venue can provide a safe and practical area in which Infinity Entertainemnt can set up and operate its equipment. Venues with stairs will incur an extra $120 setup fee due to the need for extra staff and time. Infinity Entertainment must be notified in writing of venues where stairs must be navigated.

5.4) The equipment used may include such items as lighting stands, truss systems, speaker stands and other constructions. The area provided must be both safe and practical. If Infinity Entertainment staff deems that the Venue is unsafe, Infinity Entertainment reserves the right to refuse to set up, and in this case the full fee would still be payable, as the business has turned up, but is prevented from working by Health & Safety Issues which are the Clients responsibility.

5.5) A suitable parking area must be available for the loading and unloading of the company’s equipment at the venue. Likewise, there must be adequate and direct access to the Venue or function room.

Privacy

6.1) Personal information gathered through Infinity Entertainment will at all times remain confidential. We consider our client’s information to be of upmost importance and will never give out details to third parties without prior consent.
